Electronic Form

The simple definition of an electronic form is – a paperless version of a paperless document form.  Using paperless electronic forms can eliminate the cost of printing, storing, and distributing the form to the target audience.  Often times an electronic form can be sent via email or on a website.  Where a paperless office plays into electronic forms, is that all information submitted to the document management system can be then used to fill out an electronic form.

An example of this could be a mortgage company’s clients.  Their client must fill out dozens of papers, most of them with very common fields.  These fields may be name, address, date of birth, social security number, or other basic items.  The old way is to have your client, or data entry employee manually and redundantly fill out this information on each form.  In contrast, in a paperless document management system, the electronic forms are imported as templates into the system.  Then, with the click of a button, a used to be paperless form is auto-filled with saved data.  This saves the company time and cost of errors by using electronic forms instead of traditional paper forms.

Not only can a great paperless document system generate forms automatically and save time by generating forms form pre-saved information, it can also create new information by “talking” with other utilities such as websites by way of an electronic form.  In this scenario, a new applicant could fill out an electronic web form, and that information then be automatically captured into the document management system.  From there, an “applicant folder” could be then queued up for employees to screen new applicants.  Now, instead of employees typing in new information, the client has done the work, and the business just double-checks for accuracy and completeness.

The electronic form takes center stage in the usefulness of the Internet.  What website does not have an electronic form in some fashion, that connects with its users?  Nearly every website requires a form to be filled out for access, and even e-commerce.  Many businesses communicate with their customers by having them enter data, update data, or make requests all by electronic forms on their website.  Because it’s electronic, or paperless, it can easily be gathered into a paperless document management system for archiving or other uses.
